Hourly Rates:
While we frequently get requests for hourly rentals, we’re generally unable to to book reservations by the hour – especially during peak seasons and/or on the weekends. While we do have several vehicles (ranging in size from minivans to buses), it’s generally just my wife and I who are driving. If we rent a vehicle to a group for (let’s say) six hours on a Friday or Saturday night, it leaves just one of us to cover all of the remaining calls that we get on any given weekend evening – and this is an awfully large county!
As we get ready to start our 4th year in business (on February 1, 2024), we’ve learned a few things as we’ve grown. First and foremost, by avoiding hourly rentals, we’re able to service more customers, while – in most cases – saving you money by not paying an hourly rate.
For example, the regular rate for the 14-passenger bus is $10 per person, per trip, for any trip up to 15 miles (longer trips are prorated based on distance). Meanwhile – when we can finagle it – the same vehicle rents for $150.00 an hour. Let’s suppose you have a group of 10 people, that you’re staying in Conover, and that you’re planning on going to Sweetwater, Shotskis, Mud Creek Saloon, and then back to your cabin. That night would total $400.00 ($10 per person x 10 people x 4 trips of 15 miles per trip, or less).
Now… take the same night on an hourly rental basis… Let’s suppose that I pick you up at 6:00 PM and 20 minutes later you arrive at Sweetwater, which is where you plan on eating. By the time that you have a drink, order your food, get your order cooked and delivered to the table, eat, have another drink or two, and pay your tab, you’ve now paid (including the time to get you to Sweetwater) somewhere between 2-1/2 and 3 hours at $150/hr. (totaling $375.00 – $450.00) for bus rental.
By going on a per head/per trip basis, nine times out of ten you’ll save a ton. Meanwhile (depending on where they’re at and where they’re going), I can usually fit in another 3-4 groups, so it’s a win-win… Often times, I may not even have other requests or reservations for the bus that night and I still avoid the hourly rental, banking on the stats that say “most Friday and Saturday nights, we get last-minute calls for the bus.” Sometimes those calls never come, so I’d have been far better off by booking a group on an hourly rate, but hey… if it saved you some money and everyone’s happy, then so be it.
I already know your next question… “So, when we’re ready to leave Sweetwater for Shotskis, are we going to have to wait an hour for you to come back and get us?” NOPE. First of all, I never overbook the bus. When additional groups call at the last minute, they are forewarned that we have another group (or groups) out and that they have already “reserved a 10 PM pickup at this bar,” or that “they have already reserved a pick-up at bar close.” If they can work within those parameters, I can usually help them, but if they can’t understand that being “squeezed in” means that they have to be flexible, then I simply just tell them that we can’t do it. Trust me, people do not like being told, “No,” but I have a very simple philosophy: “I’d rather tell you the truth and lose your business tonight, than lie to you and lose it forever.”
Next, we always tell people that “When you make the decision to have one more drink and then go to the next bar (or home), is when you want to call to set up your next ride. By the time you order your round, have the drinks made, drink them and pay your tab (don’t forget to tip your bartender…), you may have to wait a few minutes for me (if I’m on another call), but you won’t have to wait an hour.
Like I said… we’ve learned a few things over the past three years (wink).
